Know Your Customer (KYC) Policy

The verification checks we perform before forming your entity, opening banking or introducing you to a payment processor.

This document forms part of the agreement between you and Entity Makers. If any term is unclear, contact us at info@entitymakers.com.

1. Identity Verification

Know Your Customer (KYC) is the process by which Entity Makers verifies the identity of each individual placing an order and every beneficial owner of the entity being formed. KYC is mandatory before we can file with Companies House, IRS, FinCEN or introduce your business to a bank or payment processor.

2. Required Documents

Every customer must provide:

  • A valid government-issued photo ID: passport, national ID card, or driving licence.
  • A liveness selfie captured through our secure verification portal.
  • A proof of address dated within the last 3 months: bank statement, utility bill, or tax notice.
  • Where applicable, a proof of source of funds.

3. Business Verification

For existing entities we verify formation documents (certificate of incorporation, operating agreement, share register), tax registration and, where relevant, a good standing certificate. For new entities, KYB is completed alongside formation.

4. Address Verification

Residential and business addresses are cross-checked against the document you provide and, where applicable, against third-party address databases. PO Boxes are not accepted as proof of residential address.

5. Source of Funds

For higher-risk engagements or higher-value services, we ask for evidence of the source of funds — for example, salary slips, business revenue, or an inheritance certificate. This helps us and our banking partners meet AML obligations.

6. Enhanced Due Diligence (EDD)

EDD applies when a customer is a Politically Exposed Person (PEP), resides in a high-risk jurisdiction, operates in a high-risk industry, or presents complex ownership. EDD may include senior management approval, additional documentation and enhanced ongoing monitoring.

7. Ongoing Monitoring

Client information is reviewed periodically and screened against sanctions and PEP lists. Customers are asked to notify us of material changes (change of ownership, directorship, or address) within 30 days.

8. Compliance & Contact

This KYC Policy supports our Anti-Money Laundering Policy and our obligations under UK, US and international AML law. Questions? Email info@entitymakers.com.
